Privacy Policy

This Privacy Policy explains how Verse Copilot collects, uses, and shares information when you use our website, desktop apps, and mobile apps. We've written it in plain language because we think you deserve to actually understand it.
1. Who We Are
Verse Copilot ("we," "us," "our") makes presentation software for churches: our website at versecopilot.net, our desktop presentation app, and our mobile companion app. When we say "the Service," we mean all of these together. If you have any questions about this policy, email us at support@versecopilot.net.
2. What Information We Collect
- Account information — your name, email address, and sign-in credentials, plus your church or team name if you provide one. If you sign in with Google or with Apple, we receive your name and email address from them (with Apple you can choose to hide your real address, and that works fine with us).
- Team information — who is on your team, their roles, which computers or devices are using your seats, and your plan and usage totals, so we can keep the right people connected to the right church account.
- Content you create — presentations, slides, song lyrics, sermon notes, service plans, and the images, photos, or documents you upload or scan through our apps.
- Live audio — when you turn on the microphone in our desktop or mobile app during a service, audio is streamed to our servers so the app can recognize scripture references as they're spoken, and follow along with the song lyrics being sung, and put them on screen. This is off until you turn it on, and you can turn it off at any time.
- Photos and scans — if you use the mobile app's camera to scan a service plan, a bulletin, or handwritten notes, that image is sent to our servers to be read and turned into slides or a service timeline.
- Support conversations — messages you send to our in-app help assistant or to our support team, so we can answer you and keep a record of the conversation.
- Payment information — your billing contact details, plan, and payment history. Payments are handled by our payment processor (Stripe). We never see or store your full card number.
- Usage and device information — app version, operating system, device and screen information, error and crash reports, and records of which features were used, including the scripture reference and translation shown on screen during a service (for example "John 3:16, NIV" — the actual verse text is never sent). This information is attributed to your church's team account, is kept indefinitely unless you ask us to delete it, and members of our team may review it for your church to provide support and improve the app. If you turn off usage sharing in the desktop app's settings, we stop collecting it and record only an anonymous note that you opted out.
- Your church's approximate location — when you first set up your church's account, we work out roughly where your church is so we know where our churches are and can plan support and features accordingly. We do it from the internet address (IP address) your computer is connecting from, which gives us a city-level area, and then we look up your church by the name you gave us — and, if you gave us your website address, we read the address published on your site to check the answer. We save the resulting city, state, ZIP, country, and map coordinates on your church's account, along with how confident we are in it. We don't store the IP address itself — only the approximate location we worked out from it. This runs when your church's account is created, and again if you add or change your church's website address. None of it is shown anywhere in the app. Section 6 names the services involved. (Separately, for our free-trial checks below, we keep a scrambled form of the network your computer connects from — again, not the IP address itself.)
- Checks when you start a free trial — when your church starts a free trial, we run automated checks so the same church can't take the trial over and over and to stop bulk or automated sign-ups. For these checks we keep: the email address on your account and its domain; your church's name and general area (city, state, and country); a scrambled ("hashed") form of the network your computer connected from — not the internet (IP) address itself; and a scrambled form of an identifier for each computer that later signs in on the account. If a phone number is on your account, we also keep a scrambled form of it and whether it's a landline, mobile, or internet (VoIP) line. We store the result of the check alongside these details so we can recognize a repeat trial. We keep this record for as long as your church's account exists, and we delete it when the account is deleted.
- Website information — how many people visit versecopilot.net and which pages they read. We measure this without cookies and without identifying you. See section 7 and our Cookie Policy.
3. How We Collect It
We collect information in three ways: directly from you (when you create an account, build a presentation, scan a document, message support, or turn on the microphone), automatically from our apps and website (usage, diagnostic, and analytics data), and from the service providers that help us run the Service — for example our sign-in provider tells us your name and email when you sign in with Google or Apple, and our payment processor tells us whether a payment succeeded.
4. How We Use Your Information
We use your information to:
- Provide the Service — recognizing scripture references from live audio, following along with the song lyrics being sung so the right slide is on screen, turning your notes and scans into slides, looking up scripture text, building and displaying presentations, and syncing between your phone and your presentation computer.
- Manage your account, your team's seats, and your subscription.
- Support you when something goes wrong, including answering your messages.
- Improve reliability and accuracy — including reviewing recorded service audio and our own detection results so scripture recognition works better next Sunday.
- Keep accounts secure, prevent abuse, and stop automated sign-up attempts.
- Tell you about important changes to the Service, and (if you haven't unsubscribed) occasional product news.
We never sell your content, and we never use it to build products for other people. No church's recordings, transcripts, or sermon notes are shared with anyone outside the service providers in section 6, and we do not create devotionals, clips, books, or similar products from them — doing that would require a separate written agreement signed by your church and the speaker. The one use beyond running the Service is described next, and you can switch it off.
Improving scripture recognition
We want the app to recognize scripture better every Sunday, and the way that happens is by learning from real services. Our Terms of Service (section 10) give us permission to do that. Here is exactly what it means.
- What we may use: the text transcript of a recorded service — and only after two things have been taken out of it: personal details like names, and any scripture passages that were quoted.
- What we never use: the audio itself. Recorded audio never goes into training. We also never use recordings or transcripts made before the Terms that permit this took effect.
- Where it's off automatically: if your church is located in Maryland, Washington, Texas, or Nevada, your content is excluded from this entirely. You don't have to do anything.
- Your choice: any church can turn this off for its whole organization at any time by emailing support@versecopilot.net, and we'll confirm when it's done. Turning it off never changes how the app works for you — scripture recognition performs exactly the same either way. If you turn it off, or delete a recording, we stop adding the related transcripts to training data from that point forward. Models we have already trained aren't rebuilt, but we make no further training use of that content.
Where this stands today: we have not started using transcripts this way yet. When we do, everything above will already be in place — including the off switch.
5. Advertising and Marketing
We never sell your information. There is no advertising and no third-party ad tracking inside our desktop or mobile apps — no ad networks, no data brokers, nothing following you between apps. (They do send us the diagnostic and usage information described in section 2, which you can switch off.)
That now goes for our website too. versecopilot.net used to carry the usual advertising and session-recording tags. In August 2026 we took them all off. What's left is a cookieless visit counter that gives us page totals and nothing that identifies you — no advertising cookies, no cross-site tracking, and no cookie banner to click. Section 7 and our Cookie Policy describe exactly what's left.
We may occasionally email you about product updates or features; you can unsubscribe from those emails at any time.
6. How We Share Your Information
The content you put into the app — your recordings, transcripts, notes, scans, and slides — is shared only with the service providers that help us operate the Service, and only so they can do that work for us. The providers below also include the ones that handle account, security, and setup tasks for us. (Our website's visit counting is a separate, cookieless thing — see section 7.) The providers are:
- Cloud hosting and storage — Google Cloud and Google Firebase host our servers, store your account and content, and handle sign-in (including Sign in with Google and Sign in with Apple).
- Speech recognition — when the microphone is on, your service audio is sent to a speech-recognition provider that turns it into words. That provider receives the audio itself. It does not receive your name, your church's name, or any account identifier — just the sound.
- Artificial-intelligence and machine-learning providers — short excerpts of the transcript (about the last 30 seconds, and up to about two minutes when a reference is ambiguous) are sent to an AI provider to work out which scripture reference was spoken. (Following along with song lyrics is done on our own servers by matching the words against the lyrics already in your deck — no AI provider is involved in that.) If you use the slide-building features, the sermon notes or lyrics you submit are sent to an AI provider to produce the slides you asked for. If you use our in-product support chat, your messages are sent to an AI provider to answer them.
- Document- and image-reading services — the photos and scans you take in the mobile app are read by a service that extracts the text so we can build your slides or timeline.
- Licensed scripture content providers — we request Bible passages from licensed scripture providers so we can display the verse text. Our licence for those translations requires us to report usage back to the provider, so when a licensed translation is shown we send them a record of which passage was displayed, along with an identifier for your installation of the app. That identifier isn't your name or email, but it does stay the same for that installation. Passages from the free, public-domain translations don't involve this.
- Working out where your church is — when your church account is set up (see section 2), three things happen. We send the internet address (IP address) your computer is connecting from — and nothing else, over a secure connection — to an IP-geolocation service, ipwho.is, which sends back a city-level location. We send your church's name and that approximate area to Google Places to find your church's address. And if you gave us your church's website address, our server fetches that page and reads the address published on it. We keep the result; we do not keep the IP address. If any of these steps fails, we simply mark the location as needing review and move on. (Our separate free-trial fraud checks, described in section 2, keep a scrambled form of the network a connection comes from — still not the IP address itself.)
- Payment processing — Stripe handles checkout, cards, and subscriptions. Your card details go to Stripe, not to us.
- Email delivery — a transactional email provider sends your account, invitation, and receipt emails.
- Error monitoring and analytics — services that collect crash reports, error details, and usage statistics so we can find and fix problems.
- Security — a bot-protection service that checks sign-in, comment, and chat requests are coming from a real person, and a content-screening service that checks support-chat messages for abuse.
What these providers may and may not do with it. The speech, text, and images you submit through the app are sent to these providers only to produce the result you asked for. Where a provider offers a setting that keeps your submissions out of its training data, we turn it on. Some providers keep a short-term copy — usually up to 30 days — purely to detect abuse of their systems. This does not cover our payment processor, which uses transaction data to develop its own payments and fraud products.

We may also share information if the law requires it, to protect the safety or rights of our users, or as part of a business transfer such as a merger or acquisition. If that last one ever happens, this policy travels with your information.
7. Our Website vs. Our Apps
Our website is where you create your account and manage billing. The desktop app is where you build and present. The mobile app is a companion: it can stream audio from your phone's microphone during a service and scan documents to send to your presentation computer. All of them connect to the same account, so this one policy covers all of them.
On the website the only things we store in your browser are the ones that make the site work — keeping you signed in, bringing you back where you were, remembering a setting you chose. There are no advertising cookies, no session recording, and nothing that follows you to other websites. To see which pages people read, we use a cookieless visit counter (Cloudflare Web Analytics): it sets no cookies, stores nothing in your browser, and doesn't give you an identifier. Because none of this is advertising or cross-site tracking, there's no cookie banner. The full list of what is stored is in our Cookie Policy.
In the desktop and mobile apps there are no advertising networks and nothing that follows you between apps or across the internet. The only automatic data we collect there is the diagnostic and usage information described in section 2, which is attributed to your church's team account and which you can switch off with the "Share usage stats" toggle in the desktop app's settings.
8. Data Retention
We keep your account information, team information, and content for as long as your account is active.
Live audio is transcribed in real time and the transcript is used immediately to find scripture references.
We also record the audio and save the transcript. Whenever the microphone is on, that service is recorded and stored on our servers, so we can check what went wrong when a verse is missed and make recognition more accurate. This isn't occasional and there is no separate switch for it: if the microphone is on, the service is being recorded. Turning the microphone off is what stops it. We keep those recordings for as long as your account is active, and we'll delete them sooner if you ask.
How to have them deleted: email support@versecopilot.net from your church's account-owner address. We'll confirm how many recorded services we're holding for your church and the dates they cover, delete them once you say go, and email you when it's done. There's no form and no reason needed. We handle this by hand rather than putting a button in the app, so that a year of recordings can't be wiped by an accidental click — which means it takes a person, not a second. Deletion is permanent: there's no undo, and no backup copy is kept.
Deleting recordings and closing your account are two different requests. Closing your account removes your sign-in record and the information tied to it; it does not by itself delete your recordings. If you want both, say so — we'll do both.
Recordings are stored privately, are not published, and are not shared with anyone outside the providers listed in section 6.
Support conversations are kept so we can follow up and improve our answers. Diagnostic and crash data is kept in aggregated form for reliability work. When you delete your account, we delete the information associated with it, except where we're required to keep it — for example billing and tax records.
9. Security
Your information is encrypted in transit, stored with reputable cloud infrastructure providers, and access to it is limited to what's needed to run the Service. Our internal logs are written to avoid capturing your scripture, sermon, or lyric text. No system is perfectly secure, but we take protecting your church's information seriously, and if a breach ever affected your data we'd tell you.
10. Your Rights and Choices
- You can access and update your account information from your dashboard.
- You can delete your account at any time — from the Account tab in the mobile app, or from your dashboard settings on the website. Deleting your account removes your sign-in record and the information associated with it. Service recordings are handled separately — see section 8.
- You control microphone and camera access through your device's settings, and the microphone in our apps is off until you turn it on.
- You can stop the diagnostic and usage collection described in section 2 with the "Share usage stats" toggle in the desktop app's settings.
- You can turn off the use of your transcripts to improve scripture recognition, for your whole organization, by emailing us — see section 4.
- You can unsubscribe from product emails using the link in any of them.
- You can email us at support@versecopilot.net to ask what information we have about you, to get a copy of it, to correct it, or to ask us to delete it — including any recorded service audio. We'll respond within a reasonable time, and we don't charge for it.
11. Your California Privacy Rights
We do not sell your personal information. We never have, and we don't plan to.
We don't share it with advertising platforms either. California law uses the word "sharing" for sending information about you to advertising companies for cross-context behavioral advertising. We don't do that anywhere — not on the website, not in the apps. Our website carried advertising tags until August 2026; they were removed, and what replaced them is a cookieless visit counter that doesn't identify you. The desktop and mobile apps have never carried advertising or third-party ad tracking. They do send us the product-usage and crash information described in section 2, which you can switch off in the desktop app's settings.
Global Privacy Control and Do Not Track. These browser signals ask a site to stop selling or sharing your information for advertising. We don't do that for anyone, so there's nothing on our site for them to switch off.
Rights you can exercise. Email support@versecopilot.net to ask what information we hold about you, get a copy of it, correct it, or have it deleted. We respond within a reasonable time, we don't charge for it, and we won't treat you differently for asking. If you'd like someone to make a request on your behalf, they can email us with your written permission.
If you attend a church that uses Verse Copilot but you don't have an account, and your voice may have been captured in a recorded service: that recording belongs to your church, and your church decides what happens to it. Contact your church first — they can have it deleted at any time. Write to us too if you'd like; we'll help your church act on it, and we'll tell you what we did.
Sensitive information. Worship-service audio can reveal religious beliefs. We treat it accordingly: it is stored privately, never sold, never used for advertising, and never used to identify anyone by their voice.
12. Children's Privacy
The Service is designed for churches and ministry teams, not children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we'll delete it. Note that a microphone used in a worship service may pick up the voices of people in the room, including children — this is one more reason we keep service recordings private and delete them on request.
13. International Users
We operate from the United States, and your information is processed and stored there. If you use the Service from outside the U.S., you understand your information will be transferred to and handled in the United States. Wherever you are, you can use the rights in section 10 by emailing us.
14. Changes to This Policy
If we make meaningful changes to this policy, we'll post the new version here and update the date at the top. For significant changes, we'll also let you know by email or in the app.
